THE EVENT
This large-scale motorsport showcase brought together over 200 car and racing enthusiast exhibitors across two major venues – the Exhibition Building and the Royal International Convention Centre in Brisbane. With more than 5,000 attendees streaming through the doors, the event featured live performances, competitive games, and an awards ceremony, all contributing to a high-energy, action-packed atmosphere.
CLIENT BRIEF
Growl Racing engaged us to oversee the full logistics of exhibitor management and event flow for a large-scale motorsport showcase.
Our responsibilities included planning, coordinating, and executing the bump-in and bump-out process for over 200 car and racing enthusiast exhibitors across both the Exhibition Building and the Royal International Convention Centre.
We were also tasked with managing the movement of more than 5,000 attendees on event day, ensuring a seamless experience from entry to exit. This included keeping performances, awards, and scheduled games running smoothly and on time throughout the day.
OUR STRATEGY
To streamline the bump-in process and minimise delays, we developed a detailed floorplan that divided the venue into clearly defined zones, each with its own scheduled bump-in time. This staggered approach ensured a smooth flow of vehicles and exhibitors, reducing congestion and keeping setup on track.
On event day, our team was strategically positioned at key entry points, including registration, to oversee arrivals, troubleshoot any issues in real time, and maintain a seamless experience for both exhibitors and attendees.

HOW WERE THE OBJECTIVES ACHIEVED?
- Every exhibitor was emailed in advance with a detailed floorplan and their assigned bump-in and bump-out times, ensuring clear communication and smooth arrivals.
- Two FAME Event team members were stationed at each entry point to check in exhibitors as they arrived and address any immediate needs on the ground.at every touch point.
THE RESULTS
The event received glowing feedback from exhibitors, many of whom commented on how seamlessly the bump-in and bump-out process was executed.
Several even reached out directly to FAME to personally thank the team for their involvement and support.
The client also shared high praise, noting how smooth and stress-free the process felt compared to previous years.
