When Wild Desert came to us with a brief unlike anything we had delivered before, we did not hesitate. A world-first hybrid workover rig launch, a 20th business anniversary, a community open day, an evening stakeholder event, and a remote regional location in Roma, Queensland. Oh, and four weeks to pull it all together.
This is the story of how Fame Events delivered one of the most complex oil and gas event management projects we have taken on, and why having a team that genuinely understands the resource sector made all the difference.
Why Oil and Gas Events Are Different
Event management in the resource sector is not the same as planning a corporate gala in a city ballroom. The logistics are more complex, the locations are often remote, the stakeholder mix is broader, and the margin for error is smaller. You are often working with industrial environments, tight regulatory considerations, and audiences that range from school kids to C-suite executives, sometimes on the same day.
That is why industry experience matters so much. Fame Events founder April brings firsthand knowledge of the oil and gas industry, having spent years as a project manager at Hevilift, one of Australia’s leading aviation and logistics companies servicing the resource sector. That background means we understand how these businesses operate, what is at stake in a stakeholder event, and how to communicate with both community audiences and industry professionals in the same breath.
The Brief
Wild Desert engaged Fame Events to design and deliver a two-part event in Roma, Queensland to mark two significant milestones. The launch of Australia’s first hybrid workover rig, and 20 years in the oil and gas field services industry.
The event needed to serve two very different audiences. A daytime community open day for local schools, residents, council, and media, followed by an invite-only evening soiree for staff, clients, and industry stakeholders. The venue needed to accommodate a 100m² workover rig in the background, with no overhead power lines and enough footprint for the rig and all supporting equipment. In Roma. In four weeks.
The Community Open Day
From 9:30am to 2pm, the site came alive with the Roma community. School students came to learn about future careers in the trades and resources sector. Local residents, community members, clients, and suppliers came to see what Wild Desert does up close. Exhibition stalls showcased local businesses and suppliers. Guided rig tours gave guests a rare behind-the-scenes look at the world’s first hybrid workover rig. And a sausage sizzle made sure everyone felt genuinely welcomed.
For Wild Desert, this was not just a feel-good moment. As the largest employer in the Maranoa region, demonstrating genuine community investment is a critical part of how they operate. This event gave them powerful, authentic content to showcase their commitment to the people and places they work alongside.
What Fame Events Delivered
End-to-end oil and gas event management in a regional location requires a completely different level of coordination than a metro event. Here is what we managed across both events
- Full venue sourcing and management including identifying a site that could accommodate a 100m² rig with no overhead power lines
- Exhibitor coordination and confirmation across all stall holders
- Full supplier sourcing and management including catering, florists, and a coffee van
- Merchandise sourcing and delivery
- RSVP and guest management across three distinct audience groups including schools, community members, and evening soiree guests
- Budget management across the full scope of both events
- On-site coordination across bump in, both events, and bump out
The Standout Moments
Delivering a project of this scale in four weeks is something we are genuinely proud of. Regional event management in Queensland comes with real logistical challenges. Suppliers are harder to source, travel times are significant, and you often cannot see the site until you are standing on it.
Our team had not set foot on the Roma site until bump in day. Despite that, both events ran seamlessly from start to finish. Every supplier arrived on time, every guest transition was smooth, and every detail had been thought through well in advance. The Wild Desert team were thrilled, and the feedback from attendees across both events was overwhelmingly positive.
That is what happens when you combine genuine industry knowledge with rigorous event management. Nothing was left to chance.
Why This Matters for Mining and Energy Companies
For resource companies operating in regional Queensland, events serve a real strategic purpose. They build trust with local communities. They give clients and stakeholders a reason to believe in what you are doing. They mark the milestones that remind your team and your industry why the work matters.
Mining and energy event management is not a niche most event companies can step into confidently. The language, the logistics, the stakeholder dynamics, and the remote location requirements all demand a level of sector understanding that most generalist event planners simply do not have.
Fame Events is different. We have worked inside the resource sector. We understand what these events need to achieve beyond the catering and the run sheet, and we bring that understanding to every brief we take on.
